Meeting Minutes, June 7, 2013
All officers present; 2 club members.
Meeting called to order at 7:10pm
Treasurer’s Report: The club has $3,018.26 in the checking account, and no outstanding bills.
After discussion, the club voted to spend a total of $500 to register as a non-profit ($400 for the federal registration and $100 for the state registration). Lisa will make the applications and seek reimbursement.
After further discussion, the club also voted to upgrade the website from a free website to a .net domain hosted by Weebly for $8.00/month. This service will allow greater flexibility to post photos, create forms, and establish a Paypal account.
Membership: the club discussed how to increase membership and decided on the following actions:
- Create a database of show participants in order to inform them of future activities, including member-only activities, and encourage them to join. Jennifer Gourley is building the database.
- Post a membership drive on the Facebook account and the website.
- Leave membership forms at the barn.
- Hold a barbeque/cookout in August (in conjunction with a members only fun show?) to encourage members to join.
Summer activity: Maggie will talk with Liz McBride Jones about her availability and cost for a saddle seat clinic this summer or during the winter.
Alternatively, the club will host a members-only fun show. Registration will include a year’s membership in the club. It will have 10-12 classes, including a horse and hound, egg and spoon, etc., as well as schooling classes for pleasure driving and five-gaited.
Future clinic ideas include a show prep clinic (horse and rider, multiple disciplines), a How-to clinic (simple ground handling, like catching horses, loading, etc.), a dressage clinic, and others.
Spring Show: Feedback on the spring show was good. The facility, class list, and class order were well-received. It needed better/earlier advertising, tri-folds with the class list at more locations earlier, better footing (too hard), sound in the barn, less foot traffic in the warm-up ring, more than one food vendor, better music, and no kids allowed in center ring. We will seek out suggestions for revising and expanding the class list to appeal to more riders and disciplines.
Fall Show is scheduled for November 2nd.
By the end of July, we need to enter the show on all the free horse magazine show calendars; send calendar notices to local papers; finalize the class list (including walking horse classes) and print posters, flyers, and tri-folds; update the website, including forms for registration, stalls, membership, and payment; start signing up sponsors; and sign up and assign volunteers.
To that end, the club discussed hosting a BBQ/picnic in conjunction with a Fun Show in August. As a members only event, participants would be signed up with the club. The picnic forum would be the first volunteer/sponsor drive event. Details will be discussed at the next club meeting.
Next club meeting: Monday, July 8, noon, at Longacre Stables. Bring your own lunch.
